Best Practices

ERAS

Use the Status feature!

-Application Reviewed: After every bulk applicant data download, update their status to Application Reviewed. The system does not differentiate by the time of day, so if someone applied after your work hours at 10 PM, for example, you won't know which applicant is new from the ones already downloaded.

-Selected to Interview: Both ODME and the Department of Medicine require this one for Underrepresented in Medicine (UIM) data.

Use Filters for commonly used (e.g., Application ≠ Not reviewed would be set as Category: Application Status > Field: Application Reviewed > Condition: Equals "No")

Outlook Mail Merge

Great for mass emails, name badges, and other bulk items.

You will need:

Pluses & Deltas

Schedule a meeting with PD(s) to review the recruitment season. Make note of what worked (pluses) and what did not work/needs improvement (deltas).

Suggested Fellowship Program Website Updates

IM Residents' feedback for a fellowship site

  1. Current fellows: I want to be able to readily find the list of all current fellows, where they did their medical school and residency, and their current interests/career goals
  2. Recent graduates: I want to know what kinds of positions recent graduates have and where their careers are taking them
  3. Faculty profiles, with pictures, organized by division for ease of browsing through them (I think the nephrology website does a good job of this)
  4. A good research mentors page where it’s easy to find the most prominent mentors and projects they’re involved with.
  5. Research vs educator tracks vs other tracks and post-fellowship subspecializations
  6. For research tracks, funding beyond fellowship as people get their K grants
  7. Funding for additional degrees (if applicable)
  8. Recent publications: could have separate sections for fellows and faculty to highlight each
  9. General schedule overview for the fellowship including list of rotations, call structure
  10. Didactic structure
  11. Basic information on procedure volume (eg how many TTEs, caths, etc do fellows get on average)
  12. Great to have special dedicated page or at least highlight any special institutes or research programs in the division so applicants can easily learn more about them
  13. Basic demographic information on the population served by the hospital and clinics
  14. Welcome message from program director (small point but I think it is a nice touch)
  15. Clear and easy to find basic information on salary, benefits, any relevant GME benefits (child care support, day care housing support, etc).
  16. Children support and daycare things (cost, options, etc).
