APE Program Responsibilities

Download GME's Guidebook 2.1

• Schedule and recruits committee members for PEC per ACGME Common Program Requirements (CPR) V.C.1.a):
  • at least 2 program faculty members
  • at least 1 resident
• Send PEC Policy to PEC
• Reviews the educational program under these ACGME CPR V.C.2. categories during the meeting:
  • resident performance
  • faculty development
  • graduate performance (including graduates' certification examination)
  • program quality
• Additionally:
  • • Review GME’s comments on your last year’s APE in MedHub
  • • Re-visit last year’s Action Plan – Q: Outcome? Resolved? ….Dropped? What now?
  • • Curriculum review
  • • Discuss: – Resident performance – Graduate performance – Faculty development – Program quality
  • • SWOT Analysis & Program Aim
  • • Develop your Action Plan: – Weaknesses from SWOT – < 80% on ACGME surveys, GME survey, and Program Evaluations – ACGME citations & areas of concern – Other issues raised in the discussion 
• Document minutes and action plans (ACGME CPR V.C.3) during the PEC's Annual Program Evaluation (APE) meeting
• Approve action plan and minutes by teaching faculty (ACGME CPR V.C.3.a)
• Uploads all documents to MedHub for GME review
• Notifies GME Program Manager that the APE/PEC documents are ready for review

Self Study

    The Self-Study is an objective, comprehensive evaluation of your residency or fellowship program, with the aim of improving it. ACGME conducts a self-study on all accredited program on a 10 year cycle. The self study looks back 5 years and forward 5 years.
    – longitudinal evaluation of the program and its learning environment, facilitated through your APE using the GME Guidebook.

•         • Five year “look” backward and forward
•         • Emphasis on program strengths and “self-identified” areas for improvement (SWOT) – “self-identified” vs RRC identified

Note: There is no need to complete the Annual Program Evaluation (APE) in the year the Self Study is completed.

Best Practice: You may have gathered the previous academic year's scholarly activity for the Annual Program Evaluation (APE); however, if not, it's best to request this from fellows before they graduate/leave the program (May/June).

To gather the requested data, download the ACGME scholarly activity template, or populate those items into a Stanford Medicine Qualtrics survey.

Best Practice: Data requested is already gathered in the New Hire spreadsheet submitted to GME in December the previous year. You can also use MedHub to confirm training history.

NPI Registry Search: this is used to verify the fellow. Most of the time, can enter just first/last name for search, and if many names populate, it's typically the city/town of their residency.
If you need a birthdate for a graduate, you can use MedHub files — Residents search > Status: All > Select Resident > Demographics

Best Practice: Verify "Active" or "Expired" certification statuses using  the abim.org search.
